Privacy Policy
Onclave exists to help you stay close to the people who matter. That only works if you can trust us with what you tell us about them. This policy explains what we collect, why, and the control you have over it.
01Who we are
Onclave is operated by [Legal company name], based in New York, USA ("Onclave", "we", "us"). This policy covers our website, our waitlist, and the Onclave app (together, the "Service").
02What we collect
Information you give us
- Waitlist details: your name, email address and city when you request an invitation.
- Account details: your name, email address, phone number and, if you choose, a profile photo.
- Your content: the notes, dates, places, reminders and other details you save in Onclave, including about people in your life.
- Messages to us: anything you send when you contact support or give feedback.
Information you choose to connect
- Contacts or calendar: only if you grant access on your device, and only to help you add people and moments. You can revoke access at any time in your device settings.
- Location: only if you allow it, to show which of your people and places are nearby. Onclave works without it.
Information collected automatically
- Device and usage data: device type, operating system, app version, crash reports and how features are used, so we can keep the Service reliable.
- Website data: basic technical information such as browser type and pages visited. We do not use advertising cookies.
03Information about people you add
Much of what you store in Onclave is about other people. We take that seriously.
- It is visible only to you, and to people you deliberately share it with inside an onclave.
- We never contact the people you add, and we never tell them they are in your Onclave.
- We never combine it across users to build profiles of individuals.
- Please add only information you have a fair reason to keep, and never sensitive details someone shared in confidence without their agreement.
If you believe your information has been added to Onclave by someone else and you want it removed, contact us and we will help.
04How we use information
- To provide the Service: store your content, sync it across your devices and show you the right context at the right moment.
- To manage invitations, your account and your onclaves.
- To keep the Service secure, prevent misuse and fix problems.
- To improve Onclave, using aggregated or de-identified usage data wherever possible.
- To send you service messages, and product news if you opt in. You can unsubscribe at any time.
- To meet legal obligations.
Where the law requires a legal basis, we rely on performing our contract with you, our legitimate interest in running a safe and useful service, your consent (for example, location access), and legal obligations.
05What we never do
- We do not sell your personal information or the information you store about others.
- We do not show ads or share your data with advertisers.
- We do not make your notes public. There is no feed and no public profile.
06Who we share with
- Members of your onclaves: only what you choose to share there.
- Service providers: companies that host our infrastructure, send email or process crash reports for us, bound by contract to use data only on our instructions.
- Legal reasons: when required by law, or to protect the rights and safety of our users or the public. Where allowed, we will tell you first.
- Business changes: if Onclave is involved in a merger or acquisition, your information would stay protected by this policy, and we would notify you.
07Security
Your data is encrypted in transit and at rest. Access inside Onclave is limited to the few people who need it to run the Service. No system is perfectly secure, so we also encourage you to use a strong device passcode. If a breach affects you, we will notify you as the law requires.
08Retention
We keep your information while your account is active. When you delete your account, we delete your content within 30 days, apart from limited records we must keep for legal or security reasons. Waitlist details are deleted if you ask us, or if we have not invited you within 24 months.
09Your rights and choices
Wherever you live, you can ask us to:
- Access or export a copy of your information.
- Correct information that is wrong.
- Delete your account and your content.
- Stop marketing emails.
Depending on where you live, including the EU, UK and California, you may have further rights, such as objecting to or restricting certain processing, and complaining to your local data protection authority. We will not treat you differently for exercising any of these rights. To make a request, contact us at the address below.
10International transfers
Onclave is based in the United States and our providers may process data in other countries. When we transfer personal information from the EU or UK, we use approved safeguards such as Standard Contractual Clauses.
11Age requirement
Onclave is for people aged 18 and over. We do not knowingly collect information from anyone younger. If you believe a minor has given us information, contact us and we will delete it.
12Changes to this policy
If we make meaningful changes, we will tell you in the app or by email before they take effect. The date at the top shows when this policy was last updated.
